Hey there,
Most small business owners have a quiet, nagging relationship with their numbers. The data exists — in your bank account, your POS, your spreadsheets — but actually understanding what it’s telling you feels like a chore you keep postponing.
AI changes that. You can now hand it a messy export and get back plain-English answers about your own business in seconds. No formulas, no finance degree. Here’s how.
THE ONE-MINUTE BUSINESS CHECK-UP
Export last month’s income and expenses to a CSV (your bank, accounting tool, or POS can all do this). Upload it to ChatGPT — its data-analysis feature reads spreadsheets natively — and ask:
“Here’s my income and expenses for last month. In plain English: where did most of my money go, what changed from a typical month, what’s my rough profit, and what’s one thing worth a closer look?”
You’ll get a clear summary, often with a chart, in under a minute. That’s your monthly financial check-in — handled with a coffee instead of a knot in your stomach.
QUESTIONS YOU CAN FINALLY ASK
Once your data is in, you can interrogate it like you’d ask a sharp bookkeeper:
“Which 5 expenses are my biggest, and are any creeping up over the last 3 months?” “What were my best and worst sales days, and is there a pattern?” “If I cut my software spending by 20%, what would that do to my bottom line?”
These used to require a spreadsheet wizard. Now they require a sentence.
WHICH TOOL FOR WHICH JOB
ChatGPT is the easiest for uploading a file and getting charts, pivots, and anomaly flags without touching a formula — great for exploring. Claude tends to be stronger on heavier, more detailed datasets and careful number-crunching. As of 2026, both also plug straight into the tools your data already lives in — ChatGPT works inside Excel and Google Sheets, and Claude now connects to QuickBooks and Xero. Start with whichever you already pay for.
A SIMPLE MONTHLY MONEY SYSTEM
You don’t need dashboards. You need a 20-minute rhythm on the first of each month:
Export three things. Last month’s transactions, your sales by product or service, and your active subscriptions. That’s it.
Run the check-up prompt. Get the plain-English summary above, and save it in a running doc so you can watch trends build over time.
Ask one decision question. Pick the thing on your mind — “can I afford to hire?”, “which service makes the most margin?” — and ask the data directly.
Act on one insight. Cancel the creeping subscription. Push the high-margin service. One action a month compounds into real money over a year.
SPOTTING PROBLEMS BEFORE THEY HURT
This is where AI quietly earns its keep — catching things you’d miss:
Anomaly flags. Ask: “Flag any transactions that look unusual, duplicated, or larger than normal.” It’s caught double-charges and forgotten subscriptions for plenty of owners.
Slow leaks. The $40 tool, the per-seat plan that grew, the annual renewal you forgot. Ask AI to list every recurring charge and when it last changed.
Cash-flow heads-up. “Based on my last 3 months, which weeks tend to be tight?” Knowing it’s coming is half the battle.
THE LINES YOU DON’T CROSS
Never file taxes off an AI summary. It organizes and estimates beautifully; it does not replace your accountant. Use it to make their job faster and cheaper, not to skip them.
Never paste full account numbers, logins, or card details into a general AI chatbot. Share the transaction data, not your credentials.
Always sanity-check the big numbers yourself. AI is a sharp assistant, not an auditor. If something looks off, dig in.
YOUR ACTION PLAN THIS WEEK
Export last month’s income and expenses and run the one-minute check-up prompt. Read what comes back. I’d bet you learn at least one thing about your own business you didn’t know — and find at least one charge worth cutting.
