Most small business owners are paying for software they don’t need.
I spent the last month testing every free AI tool I could find. The goal: build a complete business toolkit that costs exactly $0/month — and actually works.
Here’s what I found.
The 7-Tool Free AI Stack
ChatGPT Free — Your Swiss Army Knife
You probably already use this, but most people only scratch the surface. ChatGPT’s free tier handles email drafting, brainstorming, customer FAQ creation, and basic research. The trick is learning to write prompts that get you 90% of what the paid version delivers. Best for: First drafts of anything written.
Canva (Free Tier) with Magic Studio
Canva’s free AI features have gotten shockingly good. Magic Write generates copy. Magic Edit transforms photos. Background Remover handles product shots. You can create social posts, presentations, and basic brand assets without upgrading. Best for: Social media graphics, simple presentations, logo concepts.
Notion AI (Free Workspace + AI Trial)
Notion’s free tier gives you a solid project management and documentation hub. The AI trial lets you summarize notes, generate action items from meeting notes, and draft SOPs. Even after the trial, the free workspace is worth using as your business brain. Best for: SOPs, meeting notes, project tracking.
Otter.ai (Free Tier) — Meeting Transcription
600 minutes per month of free transcription. Otter joins your Zoom calls, records, and transcribes. The free tier is enough for most solopreneurs and small teams. Best for: Meeting notes, interview transcription.
Google Gemini — Deep Research
Gemini is completely free and connected to Google’s ecosystem. It can analyze spreadsheet data, summarize long documents, and do competitive research. It’s especially strong when you need to process information from Google Drive, Docs, or Sheets. Best for: Market research, data analysis, summarizing long content.
Gamma.app — AI Presentations
Stop spending hours on slide decks. Gamma takes a topic or outline and generates a complete presentation in minutes. The free tier gives you enough credits to create several decks per month. The designs are clean and professional. Best for: Client pitches, internal presentations, training materials.
Descript (Free Tier) — Video & Podcast Editing
If you create any video or audio content, Descript’s free tier gives you text-based editing (edit video by editing the transcript), basic transcription, and screen recording. It’s the fastest way to turn a rough recording into polished content. Best for: Podcast editing, video content, tutorial creation.
The Bottom Line
These 7 tools together replace what used to cost $500+/month in software subscriptions. That’s real money back in your pocket — every single month.
But here’s what I’ve learned after helping dozens of business owners set these up: the tools alone aren’t enough. The real magic is in how you connect them together into automated workflows that run your business while you sleep.
Below, Premium subscribers get my complete automation playbook: 5 ready-to-use workflows that connect these free tools together, the exact prompts I use to 10x the output from each tool, and a step-by-step setup guide you can implement this weekend.
